Items to Include

When submitting your project for review, you must include the items below: 

  • Site Plan: to scale, showing the entire lot with all easements and setbacks, existing structures, and clearly defined new structures (be sure to include driveways and patios)

    • If structural changes are planned, include floor plans to scale showing new structure and pertinent information with relationship to any existing structures.

  • Elevations: to scale, showing all sides with relationship to existing structures, including clear notation of all materials and colors.

  • List of Materials: e.g., shingles, fencing, siding, pavers, or other hard structure surface), paint colors (if applicable), and plants.

  • Photos: of Actual Site and House from multiple angles.

  • Exterior Paint Changes: If you are repainting your home, please provide a rendition with your submission of the new colors you are proposing. The ARB will also require that you paint sample boards (boards comparable to what are currently on your home) with your new proposed colors. Large enough so that the ARB may drive by to view in different lighting. The ARB will not require this for small like for like projects, only large exterior changes in color. Please also note that exterior paint changes may take a bit longer due to the time it will take for ARB members to view these samples at different times of day.

  • Basketball Hoops: Please note that portable basketball hoops are not permitted and must be stored indoors when not in active use and must be preapproved.  If Portable Hoops are left out when not in use, they are subject to fine.  Permanent Hoops must be installed within the top 1/3 of the driveway (farthest from the sidewalk), and not permitted on the garage/attached to the house or street facing.  These permanent hoops must have a black pole and clear backboard.  Entire unit must be maintained in like new condition at all times, including net.  Return nets and lights are not permitted.  Finally, these permanent hoops must be green screened to blend in with the landscape and soften the view from the street and neighboring properties.  Green Screen options:  plantings must be at least 1/3 height of hoop post at time of planting, you may choose arborvitae or similar plantings, at the approval of the ARB.  For submission purposes, please provide in your submission a site plan/aerial image of your home, indicate where the court will be placed, where screening of the court will go and please provide hoop specifications.  

Please note submissions will not be reviewed without complete information provided at time of submission.
 
  • Payment: Please note that Submission fees will be effective January 1, 2022. Submission fees will need to be paid via check or money order, at the time of submission. Please see payment information below:

Submission fees are based on project scope/type: Small Scale Project Submissions Fees will be $25.00 (example: Play Equipment or a small Tree Removal project) and Large Scale Project Submissions Fees (example: Additions, Patios, Windows, Siding Replacement, Roof Replacement, Driveway, Landscaping, Deck, etc.) will be $50. Please call the office if you have any questions on the scale of your project regarding fees and we will be happy to assist you in determining your fees.

Please note: No project will be submitted for review with an outstanding violation(s) on that property.  If you are unsure if you have an outstanding violation please call Nicole Wolford, Property Manager to check. 

Submission approvals will not be released until submission fees are paid, as they are due at time of submission.  

NOTE: If the work to be performed is for a replacement then the owner may submit the work order and/or estimate as long as it includes a materials list that conform to Architectural Review Board guidelines, owners name, address and phone number, along with contractors name, address and phone numbers, and photos of the damaged area. This will allow the Architectural Review Board to expedite the review and/or approval process.

Response Time

Upon approval, an official notice will be sent to you for your records and a copy will be kept in our files. If your plan is not approved, you will be notified in writing and what conditions, if any, must be met to obtain approval.

The Architectural Review Board attempts to respond to all applications within a 30-day timeframe (often quicker, whenever possible).  However, Solar Projects or Exterior Paint Projects will have a timeframe of 60-90 days, as those require more deliberation and possible on-site review.   An application must be submitted and approved before any exterior improvement is undertaken, including the replacement or reconditioning of any element (including, but not limited to siding, roofing, windows, etc.) 

Other Information

Emergency Submissions

Emergency repairs are understood when details have been communicated with the management office; however, submission approval will still be required. Determination of “emergency repair” will be at the sole discretion of the review board.

Insurance Claims

If the owner is filing a claim with their insurance company they should have approval of the Architectural Review Board before accepting the proceeds and/or signing a release.

Coordinating with Neighbors

Before submitting the above information, the Architectural Review Board requests that you carefully consider any potential impacts that your improvements will have on your neighbors.

Compliance & Violations

Failing to make a submission for approval or starting any project prior to obtaining approval could result in fines and fees along with the requirement to submit the required documents. Please check with your management office for any questions.

  • A $500 compliance violation fee may be assessed to any structural improvement that increases the footprint of the dwelling, including, but not limited to, home additions, patios, and outdoor kitchens without prior approval.

  • A $500 compliance violation fee may also be assessed for roof, siding, window or other structural replacements without prior approval.

  • A $50 compliance violation fee may be assessed to any other type of improvement without prior approval.
